Personal Information Protection and Electronic Documents Policy

At Bramalea Travel we are committed to protecting your Personal Information that you share with us. Our ongoing commitment to protect the privacy and confidentiality of your Personal Information is outlined in this Privacy Policy.

This Privacy Policy explains our commitment to respect and protect your personal information. We want you to understand why we require your personal information and how this information is protected.

The Provisions of the Privacy Act require compliance in 10 areas.

1) Accountability

-Bramalea Travel will comply with all 10 principles of the Privacy Act.
-We have appointed a Privacy Office who is accountable for this policy.
-Bramalea Travel and its employees will maintain and protect all Personal Information under their control or transferred to a third party for processing.
-Bramalea Travel has a computerized system for customer's files. If we need to destroy paper files, they are shredded.

What personal information do we collect?

--Date of Birth
--Membership numbers
--Credit card number and expiration date
--Passport information
--Email address
--Customer's travel preferences (meal preferences, smoking, seats etc.)

2) Identify The Purpose

Why do we collect the Information?

We will identify the purposes for which Personal Information is collected
either before or at the time of collection. With your consent we may use your Personal Information for a number of purposes:

Travel arrangements and the purchase of other services can be made by visiting our office. If you cannot visit us, you can contact one of our sales consultants by phone or by email. You can also visit our website.

3) Obtain Consent

What is Consent?

Bramalea Travel will only collect, use and disclose your Personal Information with your knowledge and consent, except where otherwise required or permitted by law.
Bramalea Travel considers consent to be an expression of permission to collect and use information for purposes we believe you would consider appropriate under the circumstances. We may use your name and address for a general mailing; we believe you would also expect us to contact you to advise you of new and existing services that may be of interest to you. Third-Party Disclosure: The names, addresses and telephone numbers of our customers may be transmitted to trusted third-party suppliers in order to process your purchase. Our partners and suppliers are required to have a policy in place that complies with the applicable federal or provincial privacy legislation in Canada and the Canadian Standards Association Model Code for the Protection of Personal Information.

Except as set our in this policy, or as required by law, Bramalea Travel does not sell or disclose any of your personal information to any other organization and will not transmit personal information to third parties without first obtaining your consent to do so.

Exception to General Rule

Bramalea Travel may, however, disclose information in the following circumstances:

… a government agency which can oblige us to do so
… emergency situations in which the life, health or safety of a customer is in
… an authorized contractor (supplier) providing service to you
… an agent retained by us to do with the collection of your account and/or
credit grantors

Where do we keep your personal information?

We have organizational controls that limit access on a "need to know" basis and confidentiality agreements.

Personal Information at Bramalea Travel is kept:

4) Limit Collection

Bramalea Travel will keep your records as long as necessary for fulfillment of those purposes and/or as required by law.

We will keep your Personal Information we collect as accurate, complete up to date as necessary to fulfill the purposes for which it was collected.

Bramalea Travel will protect the Personal Information we collect with security safeguards appropriate to the sensitivity of the information.
Any personal details entered on Internet web sites including credit card details will be automatically encrypted using Secure Socket Layer. However, no data transmission over the Internet can be guaranteed to be 100% secure. We cannot ensure the security of the information you transmit to us over the Internet.

Our employees are responsible for maintaining the confidentiality of all Personal Information to which they have access to. Our employees are kept informed of our policies and procedures pertaining to the safeguarding of collected information.

8) Openness

Bramalea Travel will make our policies and practices relating to the management of your Personal Information readily available to you.

9) Access

At your request in writing, we will inform you of the existence, use and disclosure of your Personal Information as well as give you access to the information. You have the right to challenge the accuracy and completeness of your information, to amend it as necessary or ask for deletion.

Bramalea Travel can refuse access to a file in certain circumstances.

…..Has already been destroyed due to legal requirements
…..Is subject to solicitor-client or litigation privilege
…..Cannot be disclosed for legal reasons

There are no costs or charges associated with the correction of information or deletion. We may charge you a service fee to retrieve your file from archives.

Updating this policy
